What is the best way to handle employees who are no longer with the company. For example - lets say UserA leaves the company. He has been working here for years, so GFI has built up a sizable archive of his emails.

When he leaves the company, if we delete him from our Active Directory, will GFI retain his email archive? Will GFI still count him as consuming one of our licenses? If we add him to the Archive Restrictions list after he leaves, what would happen to the archive?

You can delete users from your Active Directory.

Users' data would still be stored in GFI Archiver.

If you need to access that mailbox you can then assign the mailbox to be viewed by somebody else.

Full access user also has access to view the data.
