I have an archive account that all the emails get copied to, and a Barracuda Archive Appliance comes and gets the emails and stores them then tells the server to 'delete' the message. This moves the message to the trash but doesn't delete it permanently. Since there are a very large number of email messages, I went to the archive account in the admin interface and told it to use 'custom settings for this user'. I tell it to permanently delete the Trash, SPAM, and Sent folder of items older than 5 days, and everything else 30 days (The system controlled minimum number of days). I would expect this to work, however when I look at the account, it is using 6.2Gb and over 250,000 items. I log in and look at the trash and it goes back to September 19th (This may have been the last time I logged in to delete the trash folder). I should see the oldest items be October 1st or 2nd. What am I missing here? Why isn't the setting doing its job and keeping this mail box much smaller?

When setting up our archiver (MailArchiva), I had similar trouble. No matter what combination of options I chose, whenever the archiver deleted a message, it ended up in the 'deleted items' folder, where the system clean out process had to deal with it (or not). My preference would have been to have 'delete' really mean 'delete'.

Because my archiver can accept sirect SMTP connections, what I ended up doing was using an SMTP delivery rule:
1- define an SMTP delivery rule for any mail to the domain 'MyDomain.Archive' to be delivered to the archive host
2- set arching to the remote address 'MailArchive<_at_>MyDomain.Archive'

Do not set up 'MyDomain.Archive' as an alias to your mail domain.

SMTP delivery rules are a feature of Connect 9.1 or greater, I believe.

Glad (sort of) to hear I'm not the only one with that issue. I am not quite on 9.1 yet, still 9.0.2. I will consider doing what you did, I have to look to see if my archive appliance can accept SMTP connections directly.

I still with this item clean out worked however, we have other email accounts that get bounced messages that fills up also, I would like the item clean out rules to actually delete them to keep the mailbox somewhat clean.

Quick question: do you have a domain footer defined for the e-mail destined for external domains? If so, does that footer get appended to internal only messages with your setup?

And, on a tangent, what platform are you using for MailArchiva?

We have a domain footer defined, and it is not included on internal messages

MailArchiva is running on Debian 7.

We have a domain footer defined, and it is not included on internal messages

MailArchiva is running on Debian 7.

I didn't quite phrase my question regarding the footer properly. Does that footer get appended to internal-only messages that are archived?

I thought that the footer would be appended since this is a remote address. Or, because you are using the SMTP delivery rule, that overrides the footer rule?

And are the delivery rules the ones in the SMTP Delivery tab for the SMTP Server section?

Could you post some info about your setup? I've been working at getting MailArchiva running on our system, but had been intending to look at using a local mailbox rather than your setup.

I'm interested in your experience with your configuration. Also, on a related tangent, what's been your experience with their support?

Actually I hadn't though about that so I checked:
Internal only addressees - no footer
External only, or mix of internal/external -- footer

Surprises me, as I also expected the footer to be on everything, as there it is forwarding to an 'external' domain.

We attempted to get MailArchiva to worj with reading a local mail box, both with POP3 and IMAP. IMAP gave a little better performance with processing the messages, but we always had the issue of endless build up of mail in the 'deleted items' folder. I'm sure there's some maginc configuration setting Kerio that translates to 'delete mean delete', but I never found it.

We use this setup:
Turn on the SMTP listener in MailArchiva

In kerio, under 'Archiving and Backup', choose 'archive to remote e-mail address', and enter an address as previously discussed ('archive@mydomain.local'). The set up a relay rule on the SMTP server / SMTP delivery tab to relay any mail addressed to '*<_at_>mydomain.local' to the MailArchiva Host. I made it the first rule, as I have a second to forward all other mail to my spam filter.

That's about it. The only negative we've found is that if MailArchiva goes down or stops processing, the message build up in the Kerio queue. That's as expected, but once there gets to be several thousand messages in the queue, Kerio performance suffers (a lot) as it retries each message.

MailArchiva itself works pretty well, but is is built on Java/Tomcat etc, and it is a memory hog. We've gotten the habit of just rebooting it every couple weeks. Patches come out fairly regularly and haven't (yet) caused me any trouble, so things are improving.

I've only had to call tech support a couple times. One was for a set up issue when we moved it from a windows to a linux host, and that was very good. The second was for a reported corrupted archive file (they are in encrypted zip files). At first I was told "run any of the freely available zip repair utilities", I had to push the issue a bit about that, since I'm not yet a linux export.
