KOFF creates a offline cache on the local pc to store the mails. Check with resource monitor if the hdd gets maxed out if he uses outlook.
If yes:
1. Let them clean up their incoming mail folder. Make a subdir like archive/years and let them move the mails in the specific folders. 15k+ mails in the incoming folder create a lot of IO.
2. Check if the filesystem is NTFS/EXT4 and not FAT or something like that
3. Delete the Kerio Cache folder, chkdsk and defrag the hdd, do a daily/weekly defrag service and recreate the cache again.
4. Upgrade the hardware if needed - no fast CPU needed, but a 2,5" HDD or under <2/4 GB RAM should change. They should use 3,5" SATA HDD's with 7200 s/min at least or even a ssd. You can put the cache on a SSD, any cheap one with 64 GB space is faster then any HDD for those random IO. I use that on our RDS - the SAS Raid would die if all 30 ppl access the mails. That's why the cache is on a SSD - runs smooth.
