Hi
Im a very basic Kerio user, so here goes....
Ive inherited a kerio mail system for our company, its been set up as one imap group, with a different alias for each user, so basically everyone sees the same thing on each computer, this has been working ok for years, however, i would like to implement a more conventional system, i.e. whereas each user (or group of users) receive their own emails, i can set each user up like this,
create user john.smith<_at_>mycompany.com
create group email address in group would be johns<_at_>mycompany.com
then add user to group john.smith<_at_>mycompany.com
then in delivery add sorting rule john.smith<_at_>mycompany.com
deliver to john.smith<_at_>mycompany.com
Now this seems quite a convoluted setup for a single user, and its probably not the right way to do it, but it works, my problem arises because my boss want to see everything each user sends and receives, and i can't seem to find a way to do it short of setting up every single user on his machine, so my question is, does anyone know of a kerio guru in the U.K. that might be able to help me with setting this up, or would anyone be willing to talk me through it on the forum. or should i go to kerio support.

To address your boss's snoopy tendencies, you could always set up archiving to a folder, then give him access to the folder.
I'm still not sure what problem you are solving by continuing to use groups, so perhaps you have to dumb it down for me. I would just set up the user account, (john.smith), then create an alias to it (johns). A group should be just that; a group of people (john.smith, jane.doe, bob.williams, etc).

Thanks for the response
I think the main problem is i don't know what I'm doing!!
i thought i had to have a group for it to work, so ill try an alias straight to a user, not using a group, cool,
I think an archive folder is set up already on this system I've inherited, so i can probably do that.
Heres the setup i want to achieve in its most simplest form
12 users each user to receive his/her own mail
One of those users (the boss) gets his own mail but also everyone else's mail
i already have a catchall account set up for anything that doesn't have an alias
The legacy system that is in place at the moment has a folder full of emails that have been received over the years, all nicely placed in a folder with the customers name on it, the folder size is approx 90GB!! i want to copy that to the bosses user account, then share it to the other users in webmail, could you see a folder of that size causing a problem?
Really appreciate the help

Just to add to this, I've set up 2 users one is my boss the second is me, just using an alias to both users and adding the alias for each user on delivery sorting rules, i think i have to add an alias on delivery sorting rules because we have a catchall set up as X-Envelope-To as a sorting rule. On the user for me i have added my bosses email address in forwarding, and ticked the box "Deliver messages to both mailbox and forwarding addresses" is this the best way for my boss to receive messages sent to all the other users, or could the same thing be achieved through a group?

1. No Catch-ALL, it makes the spammer think your server is something like a open relay.
2. Your Boss should study the laws. There is something called data protection and personal rights, even in the uk. In germany he would get fined with 300k+ € and up to 10 years of prison at max. And because it's an EU rule, I guess it's not that different in the uk.
He should at least inform himself, what could happen in the worst case.
Also it's something that demotivates the ppl fast and makes them change the company.
3. For the problem itself - like BudDurland said - give him the access rights of the mail archive (you have to enable it first, check the manual).
Another way would be:
Create the usermailbox, then enable forwarding to your bosses mail address and select "copy to user folder", so the user itself gets the msg too. Then you have to setup a rule in your bosses account, so the mail will be put into the folder he want.
This will only work for INCOMING mails. Outgoing is AFAIK not possible. Another option would be to put a second mail server (like hmailserver) as smarthost between the internet and kerio and copy the mails going tru there into a second account or let them send to your boss.
But I guess the archive function is the thing he should use, if he really needs to control his employees. And hope that never someone will quit the company and tell the officials what's going on.
EDIT
Damn, forgot something. Under the archive options you can select an external mail account and the server will send all mails there (instead/secondary to the local copy).
That should work with the boss mail account and a ruleset for each account.

Thanks for the reply Maerad
I appreciate the comment about the rights and wrongs of this setup, but the only intention is to make sure nothing gets missed, i think i will go with the archive option as that already seems to be in place on this inherited system i already have.
Do you think the massive folder that has grown over the years could be shared to all the other users, or do you think it could bring the system down?

With regards to the catchall, should i get rid of that altogether? where would all these emails go?

Sharing the folder should not cause you any grief, presuming the server is hosted on adequate hardware. As mentioned, the setting you found for forwarding mail to both the local inbox and another account (the boss), will work for incoming mail only. The archive is the real target here.
If memory serves, you need to login to web mail (not the admin interface) as the admin user, there will be a list of public folders, and you should see 'archive folders'. Right click on this and choose 'access rights' and add the boss (I suggest you use read-only). After that, the folder should show up when the boss logs into web mail or restarts OutLook.
If you remove the catch-all account, any message that comes in that does match an existing account, alias, or group will be bounced back the sender.

Brilliant, thanks for your help, i think ill leave the catchall intact for now.
Archive folder all sorted,
When i share the big folder, do i have to add all the subfolders of that folder manually one by one in webmail for each client? i can do that but there has to be over a hundred folders in there, and if i need to share that with 12 people, that could be quite time consuming, all the clients are using apple mail (mavericks), i kind of thought that once you share the folder, the clients mail would populate, once apple mail had been restarted.
edit, i have ticked "include subfolders" but without manually adding them mac mail doesn't seem to populate
edit again also, when i share this massive folder , does it create another massive folder on our server? as 90 gb x 12 would probably kill it.

Looks like I'm going to have to manually share the folders, or rather, i can get the client to add the folders as they need them from webmail
Just one final question regarding groups, can you confirm if i set a group within the company, give the group a name say production@mycompany.com, put seven of the production team in that group, would that mean an email sent to production@mycompany.com would go to all seven members, similarly if someone sent an email to joe.bloggs<_at_>mycompany.com (who is a member of the production group) would that email go to all seven members of the group, this would be a good way for it to work, say if a member of the group is off sick his email wouldn't get missed.
