I have a user who at the end of the work day sends out around 25 emails with 10 - 30 .xls files in each one.  Every time she does this the GFI process tanks the processor on the server and causes everyone's Outlook to run slow.  I tried adding a bypass by setting up a attachment and content filter for this user but their are only block options.  I tried using a double negative to essentially block nothing but it's still spiking the processor when she sends them out.  Can someone point me in the right direction on the proper way to allow a user to bypass the outgoing filters?

Perhaps an easier solution would be to run another SMTP server on a different machine, and have her send her outgoing mail through that connection instead of your GFI-enabled one. Since she's just one user, you could even use the SMTP built into XP Pro. 

Obviously, you will have some firewall/SPF issues to address, but this solution has worked for us to take care of a similar problem.

That sounds like it could work but I don't want to go through all that just to allow one user to send email. In the past I've worked on much larger email systems, all of them *nix based.  I've never had issues with turning off filtering for individual users.  I'm still digging through the manual and through the web to see if there isn't a solution to my problem somewhere but at this point I'm about to just shut off outgoing scanning when she sends these emails every day.

It looks like GFI doesn't have many options for me in this situation.  I'm trying to test your idea on our network and got my smtp server setup but I'm having trouble finding information on how exactly to configure Outlook to work with the exchange server but send through a different smtp server.   I see in Outlook 2007 you can modify the groups to shutoff sending through our exchange server but I'm a bit confused on how to make it work with sending through the smtp server.  Do I need to setup a pop3 account and tell it not to recieve on that account but only send?  Do you have a link to any information on how to get this setup?

Are the e-mails identical except for the recipient? If so, I'd use a mail-merge tool like Mach5. You can point that to your alternate SMTP server and it's not hard to use. You could even script it if you buy the more advanced license.

If the e-mails are all customized each day, then I would, depending on the flexibility of the user, either add a new e-mail account to her existing Outlook profile and show her how to set the FROM address for the daily Excel blast, or create a new Outlook profile and have her log in to that non-Exchange profile before sending, or put Thunderbird on her computer and configure it to use your alternate SMTP server. Yes, I would create a dummy POP3 account. While I haven't actually tested it, it should not matter if it's not turned on, the sending ought to work anyway.

In any of the above scenarios, you should be able to set the reply-to address to default to the user's real Exchange e-mail address.

Be sure to firewall the SMTP server to only allow traffic from your approved sender!!

I've got a test setup with a separate profile going with this and it's working pretty good.  I did go back over the files she's sending and it looks like I can script the entire process.  I just hope I don't have to do this for anyone else or I'm gonna have some problems :-)
