Hi all.
I have 6 databases that I have upgraded to version 4 and need to export the data for archiving. Could someone tell me the best way of doing this please.

I need to export all the emails from each database for all users.

This is actually quite pressing so if anybody has any ideas please get in touch, much appreciated.

Can you please have a look at the following post:

You are able to export emails using the GFI Bulk Email Export Tool, and re process those emails using the GFI MailArchiver Import Service

Hi Mark,
Thanks for the post.

Unfortunately I have tried this but it only seems to give me the last 5000 emails. Is this truly the best way to export the mails?

By Default the Bulk Email Export Tool will only allow you to list 5000 Emails. This can be chaged from the index.xml which is located in the Index Directory, by default:

<\GFI\MailArchiver\Indexes\[Index Name]\index.xml>

Please change the [autostoplimit="5000"] to the desired output.

without that change will it only export 5000 max or will it export all?

It will only list Max 5000 emails in the Bulk Email Export Tool, therefore you will only be able to export 5000 in a single time.

1. Can you tell me does this export all emails to and from the recipient?

and

2 is there any way you can export to a pst file ?

Question 1:

This depends on what condition you search for in the Bulk email export tool. Should you search for a condition such as:

[Recieved Date] [Is Before] [Current Date]

This will list all the email within the database you specified. However is you select:

[Sender] [Email@domain.com]
[Recipient] [Email@domain.com]

This will populate all emails related to a particular user.

Question 2:

At this point this is not possible, however we have added this as a feature request.

Hmm so this means you need to know how many emails exist to be able to ensure you list all of them? Bearing in mind we archive anything upto 500K a month and I dont consider that a lot if I want to move all email from a Ver3 archive in to a new ver 4 database at one time and there are say 300k emails in the databse will this cause a problem? I can think of a few!

I think you should consider a tool to convert a databse from a previous version to current version as a priority personnaly!

There is a conversion tool for upgrading the database to version 4.

What I am trying to do is to get the "data out" once you have updated to a version 4 database.

Hello IdealShopping,

You do not need to know how emails are in you database, should you wish to list them all.

Also you do not need to move all emails at once. For example, you can move them at incremental stages such as:

[Recieved Date] [Is Before] [1st January 2007]
[Recieved Data] [Is After] [30th June 2007]

This will list all emails that have been recieved between the 1st January - 30th June. The next export would likely be:

[Recieved Date] [Is Before] [1st July 2007]
[Recieved Data] [Is After] [31st Decemeber 2007]

Hi,

There is a new tool which allows you to export e-mails from a GFI MailArchiver 3 and 4 SQL Database. This is useful for when you need to export multiple databases and then import into one database for example. The utility is compatible with the GFI MailArchiver Import Service. That is, if the download destination specified is the GFI MailArchiver Import Service Pickup folder, then the download flow will be controlled by the GFI MailArchiver Import Service and messages can be uploaded to a separate GFI MailArchiver 4 database. It is important that databases used to export messages from are not active in any GFI MailArchiver installation.


Notes:
  • The format of the downloaded messages is in RFC822 format with a .raw extension.
  • The utility can be configured so that a range of messages from the database are downloaded. To do this enable the 'Download specific messages' check box in the 4th screen of the wizard and specify the message ids you wish to export. This message id maps to the [id] column in the [arc] table of the GFI MailArchiver database.
  • The utility keeps track of the downloaded messages by keeping a tally in the database being exported. This allows you to pause and resume the exporting of emails as required.

More information on the tool is found in the readme.txt included in the zip.
